This guidance explains the main payment, cancellation and reimbursement arrangements that apply to College trips. By signing up for a trip, parents/carers are acknowledging and accepting these conditions.

College trips often involve deposits, staged payments and contractual commitments to travel companies, accommodation providers and other suppliers. For that reason, parents/carers must be aware that sums paid towards a trip may become non-refundable at different stages.

Before signing a child up for a trip, parents/carers should read the payment schedule, cancellation terms and any trip-specific information carefully.

Behaviour & Conduct Expectations

This guidance sets out the standards of behaviour and conduct expected of students on College trips. It also explains the possible consequences of serious misconduct before or during a trip.

College trips are an extension of the College day. All students are expected to behave in a responsible, respectful and safe manner at all times. Participation in a trip is a privilege and is conditional upon students meeting the standards of behaviour and conduct expected by the College.

Parents/carers should read this document carefully before signing a child up for a trip. By signing up for a trip, parents/carers are acknowledging and accepting these expectations. Students are expected to understand that failure to meet these expectations may result in consequences, including withdrawal from a trip before departure or, in exceptional circumstances, being required to return to the UK early.

Behaviour and Conduct Expectations

Travel Documents for Overseas Trips, Including Passports, Visas, eVisas and GHIC Cards

This guidance explains the responsibilities of parents/carers for passports, visas, eVisas, GHIC cards and other travel documentation required for overseas trips, including return to the UK.

For any overseas trip, it is the responsibility of the parent/carer to ensure that their child has the correct passport, visa, residency documentation, eVisa where applicable, Global Health Insurance Card (GHIC) or other reciprocal healthcare document where applicable, and any other travel documents required both for the destination and for return to the United Kingdom.

Entry requirements vary according to nationality, immigration status, destination and the type of passport held, and they can change at short notice. Parents/carers must therefore check requirements carefully and in good time before committing to a trip.

The College cannot accept responsibility for any loss arising from a student being unable to travel because required documents are not in place, are invalid, expire too soon, are inaccessible when needed, or are not produced when required. Parents/carers must therefore ensure that all required documents are obtained, accessible and remain valid for travel.

Parents/carers may sign a child up for an overseas trip before documents are in place, particularly where trips are offered well in advance. However, where a passport, visa, eVisa, GHIC or other document is needed, parents/carers are expected to take steps to obtain it immediately after signing up and not to leave this until close to departure.
